These terms govern your access to the Midrock HOA resident portal and the services we provide to the community. Please read them carefully before using the platform.

  1. Scope of Services

    Midrock HOA provides a digital platform for homeowners association administration, including resident login areas, maintenance request tracking, document archives, community event calendars, and online payment processing for monthly levies. The platform facilitates communication between the board of trustees, property managers, and residents. Access to certain features is limited to registered residents of the Midrock estate.

  2. Resident Responsibilities

    Residents are responsible for maintaining the confidentiality of their login credentials and for all activity conducted under their account. You agree to provide accurate information when registering and to update your details promptly if they change. Misuse of the portal, including sharing access with non-residents or submitting false maintenance reports, may result in suspension of your account.

  3. Payment Obligations

    Monthly levies are due on the first day of each month. Payments processed through the portal are recorded and confirmed via email notification. Late payments may incur interest as stipulated in the community scheme rules. The HOA reserves the right to restrict access to certain portal features if an account falls into arrears, while maintaining access to essential communications and meeting notices.

  4. Maintenance Requests

    Maintenance requests submitted through the portal are logged with a reference number and assigned to the relevant property manager. Response times vary depending on the nature and urgency of the issue. Emergency requests, such as water leaks or electrical faults, should be reported by phone to the estate security office. The HOA does not guarantee a specific completion date for non-urgent maintenance work.

  5. Architectural Approvals

    Any structural changes, exterior paint work, fencing, or additions to your property require written approval from the architectural committee before work begins. Applications submitted through the portal are reviewed within 30 days. Work undertaken without approval may be subject to fines and may require reversal at the owner's expense. The committee's decision is final and binding.

  6. Limitation of Liability

    Midrock HOA provides the portal on an "as is" basis. While we strive to keep the platform available and accurate, we do not warrant that the service will be uninterrupted or error-free. The HOA is not liable for indirect or consequential damages arising from the use of the portal, including loss of data or missed communications due to technical failures. Nothing in these terms limits liability that cannot be excluded under applicable law.

  7. Termination of Access

    The HOA may suspend or terminate a resident's access to the portal for breach of these terms, non-payment of levies, or conduct that disrupts the community. Termination of portal access does not relieve the resident of their financial obligations to the association. Residents may request account closure by contacting the property manager in writing.

  8. Changes to These Terms

    Midrock HOA may update these terms from time to time to reflect changes in legislation, community rules, or platform functionality. Residents will be notified of material changes via email or a notice posted on the portal. Continued use of the platform after changes take effect constitutes acceptance of the revised terms.
